Recommended Action

Authorize renewal of contract with Sugar Land Auto Parts for the purchase of various auto parts to be used in the repair of City fleet vehicles, not to exceed $115,000 citywide over the one-year renewal term of the contract.

Executive Summary

On February 23, 2006, bids for auto parts were opened.  Bidders were asked to submit their parts list (commonly referred to as a Jobbers List or MSRP List) based on the City’s Fleet Schedule with a discount/mark-up percentage to be used for that list.  Parts were to be awarded to one vendor based on spot-check pricing of submitted MSRP list.  In reviewing the lists submitted it was determined that Sugar Land Auto Parts had provided the best overall pricing for auto parts.  Sugar Land Auto Parts not only submitted the most complete and clearly stated list of parts, but also provided the City with the most competitive discount of 40% off listed price.  Sugar Land Auto Parts also confirmed their ability to comply with the required delivery schedule.

Sugar Land Auto Parts has provided excellent service during the initial term of this contract and has agreed to renew this contract for an additional term based on the same terms and conditions of the original contract.
